Questions before you sign
- Where does each artefact live?
- Who can produce it without asking someone else?
- When was the index last checked against the files?
The practice, in our words
Keep the evidence in one place, indexed by practice, with an owner and a date for every artefact. An assessor should be able to pick a practice, ask for its evidence and receive it without a search.
What it means in a VSE
The index is the product. Each row: practice, artefact, owner, date, location, status. Keep it in a spreadsheet the firm can work and export a PDF for the assessor. A file that depends on one person's mailbox is not a file.
In a firm of 25 people or fewer, keep the evidence file assessable has to earn its time. The test for TR-06 is not whether the team understands it but whether the artefact exists at the end of the project. Shrink the meeting. Shrink the document. Keep the record.
How to evidence it
Attach the artefacts above to the Keep the evidence file assessable row with the project name, the owner and the date. The anchor for TR-06 is The evidence index with owner, date, location and status. A named person must produce it on request.
For TR-06, the reviewer will sample one live decision and ask for The file structure or system where the artefacts live. No artefact, no evidence. A file that depends on one person's mailbox is not a file for keep the evidence file assessable.
What an assessor samples
An assessor reads the keep the evidence file assessable practice, asks for its evidence and tests one project against it. For TR-06, the useful sample is the most recent project that used the practice, not the best one. A reconstruction written for the visit is a finding for TR-06 if the practice cannot be shown to have happened when it mattered.
Common gaps
- Evidence in three systems and one inbox
- An index that points to documents that have moved
Where the draft fits
The public abstract places keep the evidence file assessable inside one of the four processes the Intermediate profile covers. For TR-06, the draft clause numbering and wording are not public, so this page cites Public abstract, process list and does not quote the draft. The basis label for TR-06 says whether the practice is stated in the public record, named as a process in the series, or our reading.
